Manage tasks

The Tasks screen is your firm’s unified work queue. While tasks are created inside individual engagements (either manually or through playbooks), the Tasks screen brings them all together so managers can see the full picture: what is in progress, what is overdue, what is unassigned, and who is overloaded.

In the left sidebar, click Practice, then click Tasks. Open Practice > Tasks

The default view shows all tasks across all engagements, sorted by due date.

Understanding the task list

Each row in the task list shows:

  • Task name — what needs to be done
  • Engagement — which engagement (and client) this task belongs to
  • Assignee — the team member responsible
  • Due date — the task-level due date (separate from the engagement due date)
  • Status — Not Started, In Progress, or Completed
  • Priority — Normal, High, or Urgent (if set on the task)

Click any task to open its detail panel on the right, where you can view the full description, log notes, change the assignee, or mark it complete.

Filtering the task list

The Tasks screen has several filters you can combine:

Bulk actions

To act on multiple tasks at once, check the checkboxes on the left side of each row:

  • Bulk complete — mark multiple tasks as completed at once (useful for wrapping up an engagement at the end of the month)
  • Bulk reassign — move tasks from one team member to another (useful when a staff member is away)
  • Bulk set due date — update the due date on multiple tasks simultaneously

Select the tasks you want to act on, then click the action button that appears in the toolbar above the list.

Adding and editing tasks

Adding a task from the Tasks screen

Click Add Task in the top-right corner. Fill in the task name, select which engagement it belongs to, assign a team member, and set a due date. The task is immediately visible in both the Tasks screen and on the engagement detail page.

Adding a task from inside an engagement

Open the engagement, go to the Tasks tab, and click Add task. This is slightly faster if you are already working inside a particular engagement.

Editing a task

Click any task to open the detail panel. You can edit the name, description, assignee, due date, status, and priority. Changes save automatically.

Marking a task complete

Click the checkbox on the left side of a task row in the list, or click the checkbox inside the task detail panel. The task moves to the Completed status filter.

Board view: visualising your workflow

Click the Board toggle in the top-right corner of the Tasks screen to switch from the list view to a Kanban board. The board groups tasks into columns by status:

Drag a task card from one column to another to change its status. This is a quick way to update task status during a team standup without opening each task individually.

Integrating tasks with the calendar

Kuberan AI’s calendar shows tasks with due dates alongside engagements, deadlines, and scheduled events. To view tasks in the calendar:

  1. Go to Practice > Calendar
  2. In the calendar filters (top-right), enable Tasks
  3. Tasks with due dates appear on the calendar on their due date

You can click a calendar task to open its detail panel and make changes directly from the calendar view.

Creating a task from the calendar: Click on any day in the calendar and select Add task. This creates a new task with that day pre-set as the due date.

Overdue tasks

Tasks past their due date are automatically flagged as Overdue and shown in red in both the list and board views. To see all overdue tasks across the firm, use the Due date = Overdue filter on the Tasks screen.

Managers should review overdue tasks weekly and either:

  • Update the due date to a realistic future date if the work is still in progress
  • Escalate to the assigned team member if the task has been forgotten
  • Mark it complete if the work was done but the task was not checked off

Common questions

Can I add tasks that are not part of an engagement? Yes — when adding a task from the Tasks screen, the Engagement field is optional. Internal tasks like “Update client contact information” or “Prepare CPD tracking report” can exist without being tied to a client engagement.

Can tasks have subtasks? Currently, tasks support a single level of depth. For very granular checklists, use the task description field to include a markdown checklist inside the task. Future updates will add subtask support.

Are completed tasks visible? Yes. Completed tasks are hidden by default to keep the list clean, but you can show them by clicking Include Completed in the status filter. They remain accessible for reference on the engagement detail page indefinitely.
